Billing and Ops Analyst

ROLE SUMMARY

Our client is seeking an experienced Billing and Ops Analyst to assist with their daily company operations, which include execution and tracking of all sales transactions, customer billing, purchasing, shipping, credit card reconciliation, time-tracking, and labor utilization reporting.

SCHEDULE: 8 AM - 5 PM Pacific Daylight Time (11 PM – 8 AM Philippine Local Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

ESSENTIAL FUNCTIONS

·       Handle customer invoicing, working in tandem with Senior Manager and cross-functions, generating and executing customer invoicing (via Maxio or SaaS-Optics)

·       Maintain customer information, sales information, and invoices in Maxio, Excel, and repository

·       Set up projects in QuickBooks Online, QBT, Maxio, and ProcureDesk and update project matrix template working with Engineering, Project Managers, and Accounting

·       Maintain accounts receivable aging reports (via QuickBooks Online and Excel) and assist with collections

·       Execute purchases (via Amazon, Amazon.ca, eBay, etc.) and maintain status in Procedure Desk (delivery and receipts)

·       Assist with purchase order creation when needed

·       Execute shipping (via UPS, FedEx, USPS, etc.) and maintain supporting documentation (delivery and receipts)

·       Support time-tracking (via QBT) and support resource setup and resource utilization reporting (via Excel)

·       Conduct credit card reconciliation and provide supporting documentation on credit card purchases (via BREX)

·       Take on new assignments and be available as a backup to the accounting counterpart

·       Perform ad-hoc projects

QUALIFICATIONS

·       A Bachelor’s degree in the related field is an advantage

·       At least 3 years of professional experience in Operations, Finance, and/or Accounting supporting customer billing is required

·       Successful, recent experience working the night shift (to support US hours) is required

·       Billing experience with a software system is a must

·       Experience with some sort of ERP system is a must

·       Exceptional spreadsheet and Excel skills (pivot tables, VLOOKUP, leveraging conditional formulas) are required

·       Must demonstrate Excel skills during the interview

·       Willing to be flexible and grow

·       Willing to learn new concepts and take on new responsibilities in a fast-paced, start-up environment.

·       Experience in a multi-client environment

·       Strong organization, oral and written communication skills

·       Analytical skills with particular attention to detail

·       Ability to function in an autonomous environment—independent worker, self-directed
