Operations Manager

ROLE SUMMARY

Our client is seeking an outgoing, customer-focused, problem-solving Operations Manager to manage the operational aspects of the company and ensure it runs harmoniously. He/she will provide process and structure and will work with the vendors and warehouse to keep the company growing as efficiently as possible.   

This position is accountable to ensure all customers get that by directing traffic. It involves thoughtful, customer-focused communication across all operational and 3rd party areas of the company including sales, vendors, warehouse, and operations. The position reports to the owner/integrator and is anticipated to be a key contributor to leading the company to the next level. The ideal candidate will use his/her problem-solving abilities, knowledge of each functional area, and communication and interpersonal skills to ensure the company runs smoothly and efficiently.

SCHEDULE: 9 AM – 6 PM Pacific DaylightTime (12 AM - 9 AM Philippine Local Time), Follows Philippine Holidays

ESSENTIAL FUNCTIONS

·       Partner with the owner on short and long-term planning, as well as creating operational efficiencies

·       Demonstrate a relentless obsession with values alignment, focus, simplicity, and clarity

·       Resolve issues quickly and effectively, seeing real problems, comfortable with conflict, calling out the problems, and solving the problems in a practical and healthy manner

·       Enforce accountability throughout the vendor community, warehouse, and company

·       Be comfortable having other people indirectly reporting to the role and using their talents to achieve the role’s objectives

·       Develop and own an operational scorecard and leverage it to proactively identify issues

·       Coordinate and integrate all areas of the business including Marketing, Finance, and Operations, and all functional areas beneath these core functions.

·       Ensure that vendors, the warehouse, and the sales team are rowing in the same direction for customer satisfaction

·       Ensure that the team consistently follows and adheres to the company’s core processes and operating system

·       Demonstrate effective project management and continuous improvement skills and use both skills to evolve and document our core processes related to operations, including processes with vendors, warehouses, and online stores

·       Manage with supply chain partners and sales channels to ensure inventory flows to efficiently meet demand

·       Remove obstacles and barriers, manage major projects, help standardize and systematize work, and integrate all major functions of the business

·       Work with outside organizations to establish an independent, vertical, and regenerative global supply chain via developing relationships and partnerships

·       Be on constant watch for automation and smoother processes to take the human element out of our processes

·       Manage sales overview, be a gap filler, and ensure all elements of an order are done correctly by delegating/ensuring the process is followed for various elements of the order

·       Ensure any post-sales issues are handled in a timely manner

·       Work with sales and directly with customers to ensure they are handled

·       Provide leadership surrounding the warehouse, handling incoming and outbound, receiving inventory, developing processes, and vendor evaluation

·       Assist with automation to ensure a smooth warehouse process

·       Search for new and/or additional warehouses

·       Act as the primary contact for our vendors, focusing on getting any requests, issues, etc. to the right person in the organization and carrying them to resolution

·       Manage metrics by vendors to identify needs for new vendors and/or improvements of current vendors

·       Help manage and balance inventory levels

·       Work with the accounting and sales teams to raise and resolve all inventory issues. And develop key metrics

·       Determine optimal use of shipping company for speed, ease of use, tracking, and other considerations

·       Develop processes for international shipments and evaluate shipping partners

·       Identify additional gaps and open areas of responsibility and provide structure and accountability

QUALIFICATIONS

·       High School Degree or 15+ years of applicable experience with a high level of achievement.

·       Must possess the following key skills: self-motivation, time management, pipeline/vendor management, and customer obsession

·       Basic print industry and hospitality background desired, but not required.

·       Proven ability to work independently and in a team environment

·       Desire to make every customer a highly satisfied customer

·       Ability to understand the cost drivers of a complex product offering

·       Ability to perform the details, while managing in a leadership role

·       Excellent written and verbal communication skills.

·       Proficiency with, or ability to learn Salesforce, Box, Airtable, Logiwa warehouse software, Ashore proofing, and Google Gmail

·       Ability to learn other platforms as the company moves to the cloud and once basic knowledge is obtained, be able to use these tools to develop additional digital processes

·       Enthusiastic with an entrepreneurial spirit and desire to take initiative rather than being told what to do

·       Experience in a multi-client environment
