Quality Control Associate

ROLE SUMMARY

Our client is looking for a Quality Control Associate who will play a vital role in ensuring the accuracy, legality, and compliance of all transactions and processes related to client account activity. This position requires meticulous attention to detail, exceptional research and analytical skills, and a strong understanding of legal and regulatory requirements governing retirement accounts and IRA custodians. The Quality Control Associate will be responsible for conducting transaction audits, reviewing transactional data for accuracy, managing document storage, reporting federal and state withholding, and performing the daily reconciliation of incoming/outgoing client funds and assets, to uphold the highest standards of compliance and quality.

SCHEDULE: 9:00 AM – 6:00 PM Pacific Standard Time (1:00 AM – 10:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

ESSENTIAL FUNCTIONS

·       Perform the following tasks related to legal research:

o   Conduct thorough legal research to stay updated with the latest industry regulations, tax codes, and compliance standards relevant to self-directed IRAs

o   Interpret and apply complex legal and regulatory information to ensure all transactions and processes are in full compliance

·       Perform the following tasks related to transaction audits:

o   Perform regular audits of client transactions to verify adherence to established policies, procedures, and regulatory requirements

o   Identify discrepancies or potential issues in transactions and work with relevant team members to rectify them promptly

·       Perform the following tasks related to transactional data accuracy review:

o   Review and analyze transactional data to ensure accuracy and completeness in recording client asset movements and adequate documented substantiation of alternative investment activities

o   Collaborate with operational teams to correct inaccuracies and maintain accurate records

·       Perform the following tasks related to document storage management, quality control, and requests:

o   Oversee the organization, maintenance, and accuracy of client documentation and transaction records in compliance with industry standards and internal guidelines

o   Complete and package all legal, audit, and client document research requests

o   Implement and monitor quality control measures to ensure the integrity and accessibility of stored documents

·       Perform the following tasks related to federal and state withholding reporting and audit:

o   Audit federal and state client withholding to ensure accurate reporting to federal and state reporting agencies

o   Prepare and submit accurate federal and state withholding reports as required by regulatory authorities for applicable transactions

o   Collaborate with appropriate governmental agencies to ensure proper IRS reporting and adherence to current tax regulations

·       Perform the following tasks related to client asset reconciliation:

o   Perform regular reconciliations of client asset holdings to ensure alignment with records and statements

o   Perform daily reconciliation of incoming and outgoing cash through the bank and internal record-keeping systems

o   Investigate and resolve any discrepancies or anomalies identified during the reconciliation process

·       Perform the following tasks related to compliance and quality assurance:

o   Manage compliance inbox and chat

o   Support the development and enhancement of compliance processes, policies, and procedures

o   Assist in internal and external audits by providing necessary documentation and insights to auditors

QUALIFICATIONS

·       A bachelor’s degree in the related field is an advantage

·       Certified IRA Services Professional (CISP) designation or similar certification

·       Previous experience in a quality control or compliance role within the financial or retirement services industry

·       Strong understanding of self-directed IRAs, retirement plan regulations, and tax implications

·       Proficiency in legal research techniques and the ability to translate complex legal information into actionable insights

·       Knowledge of relevant software tools for data analysis and compliance management

·       Proficiency in data analysis and Microsoft Office Suite

·       Familiarity with document management systems and imaging software

·       Exceptional attention to detail and analytical skills

·       Excellent communication skills, both written and verbal

·       Ability to work collaboratively in cross-functional teams and adapt to changing regulatory landscapes
